1. Who we are
Closely is operated by EKD Group, based in Accra, Ghana. This policy explains what data we collect when you use the Closely platform and website, and how we handle it.
2. Data we collect
Account data: your name, email, agency name, and password (stored hashed). Agency data: listings, business hours, and configuration you add. Conversation data: WhatsApp messages between your agency's number and your leads, including phone numbers, processed so our AI can respond on your behalf. Usage data: basic logs needed to operate and secure the service.
3. How we use it
We use your data solely to provide the service: generating AI replies, scoring lead intent, showing conversations in your dashboard, and sending the notifications you enable. Message content is sent to our AI provider (Google Gemini) only to generate replies. We do not sell your data or your leads' data to anyone.
4. Tenant isolation
Every agency's data is isolated at the database level with row-level security. No agency can access another agency's listings, leads, or conversations.
5. Your leads' rights
Leads who message your WhatsApp number are your customers; you are the data controller for those conversations and Closely is your processor. If a lead asks you to delete their data, contact us and we will remove it.
6. Retention and deletion
We retain data while your account is active. If you cancel, you can request full deletion of your agency's data at any time by emailing seyramdogbegah11@gmail.com.
